Pulse/KPIs in GBVIMS+

The KPIs/Pulse is a feature of GBVIMS+ which is a set of performance-monitoring indicators and dashboards tailored for GBV programming. This will only work for GBVIMS+ users.

In order to ensure the KPIs work correctly, please follow the below steps:

Step 1. All case workers and supervisors should have the lowest admin level set on their user profile. This is their “reporting location” which appears in the GBVIMS+ home page, filters, and KPIs/Pulse. Please see additional guidance on locations here.

Step 2. The type of location should also include “County” as admin 1 or 2. Please see additional guidance on the type of locations for GBVIMS+ here.

Step 3. Check the Role of the users who need to view the Pulse/KPIs and ensure they have the permissions to view them:

1. Number of recorded Cases System Fields This indicator measures how many newly reported cases are opened each month per site for the past 3 months. A reporting site is understood as the site where the User Organization is providing services and where the case was reported to the service provider.
2. Number of recorded Incidents System Fields This indicator counts the number of new reported incidents opened each month per site for the past 3 months. A reporting site is understood as the site where the User Organization is providing services and where the incident was reported to the service provider.
3. Reporting Delay date_of_first_report and incident_date Incident Details This indicator provides information related to the number of days that have lapsed between when the survivor experienced GBV and when the survivor first reported it to a service provider. It is calculated based on when the incident was first reported. The data is presented based on different length of time (0-3 days; 4-5 days; 6-14 days;15-30 days; Over 1 month; Over 3 months). This indicator can be filtered for cases under a certain period of time (past month, 3 months; 6 months; 1 year).

Survivor Assessment Form This indicator calculates the proportion of active cases for which an assessment form was completed. An assessment is considered completed where a set of mandatory fields within the ‘Survivor assessment’ form group under the CASE tab of Primero/GBVIMS+ platform.

Safety Plan Form This indicator calculates the proportion of active cases for which a safety plan was deemed necessary and completed (ex. intimate partner violence, suicide/homicide risk, child protection). A safety plan is considered completed where a set of mandatory fields within the ‘Safety plan’ form group under the CASE tab of Primero/GBVIMS+ platform.

Action Plan→Action Plan Subform This indicator calculates the proportion of active cases for which a Case Action Plan was completed. A case action plan is considered completed where a set of mandatory fields within the ‘Action plan’ form group under the CASE tab of Primero/GBVIMS+ platform.
7. Case Action Plans Approved by Supervisor action_plan_approved (plus all from KPI 6) Action Plan This indicator calculates the proportion of active cases for which a Case Action Plan was completed AND reviewed/approved by a supervisor. A case action plan is considered completed where a set of mandatory fields within the ‘Action plan’ form group under the CASE tab of Primero/GBVIMS+ platform.
8. Services Provided service_type_provided Action Plan → GBV Follow Up This indicator identifies the type of services provided to survivors at entry point or start of case management process. By service provided, we mean the service that is provided by the User organization in-house, not service provided by referrals to other services.

Action Plan → GBV Follow Up This indicator measures the percentage of cases for which goals have been met by type of needs (e.g. safe house/shelter, health/medical, psychosocial, legal assistance, safety and security and livelihood services). This indicator is informed by the section ‘Progress made towards goals’ under the ‘Follow up’ section of the ‘Action plan’ form group in the CASE tab.
12. Time From Case Open To Case Close date_closure GBV Case Closure This indicator Measuring how long cases are kept open, how long the case management process takes from the initial report to User Organization to case closure. The length of time is broken down by the following timeframe: less than 1 month; between 1 and 3 months; between 3-6 months; more than 6 months.
13. Case Closure Rate date_closure GBV Case Closure This indicator measures how many cases closed per month per site. A reporting site is understood as the site where the User Organization is providing services and where the incident was reported to the service provider.

Client Feedback Form This indicator measures the ratio (percentage) of survivors who completed the Feedback Survey who are satisfied with the case management services provided to them.
15. Supervisor To Caseworker Ratio System Fields This indicator is monitoring the number of caseworkers a supervisor supervises in order to intervene if needed. This calculation is based on the system roles allocated on the platform (Benchmark of 1:5 and no larger than 1:8)
16. Case Load System Load This indicator measures the average caseload per caseworker based on open cases. The ration of cases to case workers is divided based on the following breakdown: less than 10 open cases, between 10-20 open cases, between 21-30 open cases, more than 30 open cases (Benchmark 1:15 active cases, at the most 1:20)
